Privacy notice

Controllers

The UK JET40 Register is operated jointly by the Embassy of Japan in the United Kingdom and JETAA UK ("we", "us"). We are joint controllers of the personal data described in this notice within the meaning of the UK GDPR: we determine together the purposes for which, and the means by which, that data is processed. We have not apportioned that responsibility between us. Each of us is answerable for the whole of it, and any matter you raise is dealt with by us jointly.

Personal data we collect

Through the registration form we collect: your first name and last name; the name under which you served on the JET Programme, where different; your email address; your prefecture of placement; your year of arrival and year of departure; your role (ALT, CIR or SEA); your country of residence and, where applicable, your region of the United Kingdom; how you learned of the Register; and any referral code. We also record the consents you give on the form.

Where you send us a photograph by email in reply to our correspondence, we process that photograph and any caption accompanying it.

Only the questions marked with an asterisk are required. The remainder are optional and may be left blank; the only consequence of doing so is that the information does not appear.

Purposes and lawful basis

We process your personal data in order to compile and maintain the Register, to correspond with you about the Register and the 40th anniversary of the JET Programme, and, where you have consented to it, to publish limited details about you on the JET40 website.

The lawful basis for this processing is your consent (UK GDPR Article 6(1)(a)), given when you submitted the form. Each consent sought on the form — to publication on the website, to membership of JETAA UK, and to inclusion in an alumni directory should one be established — is separate and may be given or withheld independently of the others. Every email we send you carries a means of stopping further emails.

Publication

No information about you is published unless you have consented to appear on the JET40 website. Where you have, we publish your first name and the initial of your last name (for example, Sarah M.), your prefecture, the years of your placement, your role where you gave it and, where you have supplied them, your photograph and its caption.

We do not publish your email address or any other means of contacting you.

The website is publicly accessible and its contents may be indexed by search engines. You may ask us to remove your entry at any time.

Photographs

By sending us a photograph you consent to its use in the JET40 photomosaic, on the JET40 website and on the JET Programme UK social media accounts. On request we will remove it from the website without delay and from the photomosaic when the photomosaic is next rebuilt, which occurs weekly; material already printed or already published on social media cannot be withdrawn.

Where other individuals appear in a photograph you send us, please satisfy yourself that they are content for it to be used in this way.

Recipients

Your personal data is shared between the Embassy of Japan in the United Kingdom and JETAA UK. It is disclosed to no other party. We do not sell it, and we do not use it for any purpose other than those set out in this notice. Google acts as our processor in providing the form, the mailbox and the storage in which the data is held, and processes it only on our instructions.

Storage and international transfers

The form and its responses are held in Google Forms and Google Sheets, in a Google Workspace account belonging to JETAA UK (jet40@jetaa.org.uk) to which the Embassy also has access. Photographs are held in Google Drive in the same account. The JET40 website is hosted on the Embassy's own web server.

Google stores and processes data in data centres in a number of countries, and your personal data may accordingly be transferred outside the United Kingdom. Where that occurs, the transfer is subject to the safeguards required by UK data protection law for transfers of this kind.

Retention

We retain your personal data for as long as we maintain the Register. We will review that period at the end of 2027 and at intervals of three years thereafter. Where you ask us to remove your data, we do so upon receipt of your request.

Your rights

Under UK data protection law you have the right to request access to your personal data, its rectification or erasure, the restriction of its processing and its portability, and to object to its processing.

You may also withdraw your consent at any time, either in full or in respect of any individual consent you have given, by writing to jet40@jetaa.org.uk. Withdrawal is as straightforward as the giving of consent, and does not affect the lawfulness of processing carried out before it.

We respond within one month. No charge is made. We take no decisions about you by automated means.

Complaints

If you are dissatisfied with the way in which we have handled your personal data, please raise it with us first at jet40@jetaa.org.uk. You also have the right to lodge a complaint with the Information Commissioner's Office, the United Kingdom's supervisory authority for data protection (ico.org.uk, 0303 123 1113). A complaint concerning the Embassy's part in this processing may be addressed to ukjet@ld.mofa.go.jp.

Changes to this notice

We will update this page if any of the matters described in it change, and will state the date of the update. Where a change is material, we will notify everyone on the Register by email.
