Job Vacancy: Assistant of the Building and Property Management Section

Working hours:   Monday to Friday, 9:30am-6:00pm (Lunch hour: 12:45pm-1:45pm) with the possibility of overtime work

Salary:   25K-35K (according to qualifications and experience)

Job Details:       

The Embassy of Japan seeks a highly qualified person who can perform as an assistant to the diplomats of the Building and Property Management Section and perform an integral role in facilitating the maintenance and upkeep of embassy facilities.

Duties include:
  • General administrative duties including correspondence with maintenance companies and contractors, the organisation of quotations and management of contracts.
  • Managing and supervising works carried out by maintenance companies and contractors at Embassy’s properties, reporting on and documenting all works undertaken.
  • Proactively attempting to prevent, understand and resolve any problems that arise in the properties. This could involve electrical works, plumbing works, mechanical works and general DIY maintenance.
  • Foster a strong relationship with team members and understand the needs of those residing and working within embassy property.
  • Competence in secretarial and assistant work
  • English language as a mother tongue or equivalent, both spoken and written
  • A good command of Japanese language and culture is an asset
  • Qualifications in architecture, electrical and mechanical strongly preferred
  • Good IT Skills including MS Word, Excel, Outlook and Powerpoint are essential
  • UK driving license (light van is provided to visit Embassy’s properties)
