Consular Appointments

An appointment booking is required for the following consular services. To book an appointment, please read the Terms of Use and Privacy Policy  below, and then click the Proceed to Booking button at the bottom of this page (redirects to an external site).

 
  • Passport applications and collections
  • Certificate applications and collections
  • Registration
  • My Number Card applications
  • Copy of Resident Registration for JR Pass applications and collections
  • Visa applications

(Appointments are not required for Visa collections. Visas can be collected between 09:30 – 11:30 and 14:00 -16:00 only)

Appointments are NOT required for the following Consular services, however please ensure you arrive at the Embassy before 16:00:
  • Overseas Voting registration services (applications, amendments, reissuance and collections of Overseas Voting Registration Cards)
  • My Number Card collections※
  • Collections of exchanged Japanese Driving Licences returned from DVLA/DVA※

※【Note】:

  • If you also require a service for which an appointment is required (Passport / Certificate applications / Collections, Registrations, Copy of resident registration for JR Pass or Visa applications), you must book an appointment. Please be advised, we will not be able to provide these services without an appointment.
  • For My Number Card and Japanese Driving Licence collections, please ensure you can show your collection notification email or a print out for security.
  • For Overseas Voting registration services, please inform security on arrival.

1. Advance Bookings

Bookings can only be made for Embassy working days up to 4 weeks in advance (Same-day booking cannot be made). For example, if you access the booking site on 1st April, you will be able to book an appointment up to 29th April (for further details please check the booking page).

2. Making a Booking

  • Please do not book multiple appointments for the same service/application.
  • Appointments are limited and offered on a first-come, first-served basis.
  • Appointment availability may be limited during holiday periods (Easter, Christmas, Half term etc ). Please be sure to book in plenty of time if you wish to visit the Embassy during these busy periods.
  • Please be sure to book the appropriate appointment for the service you require. If you have booked an appointment for a different service than that you require, we may not be able to provide that service when you attend.
  • If you wish to make multiple Passport / Certificate applications/ collections or Registrations for yourself or for family members at the same time, please only book one appointment slot. If you are attending with non-family members , please book separate appointment slots.
  • For family or group Visa applications, please only book one appointment slot.
  • Non-Visa services can not be provided at the same appointment as Visa services. Please book separate appointments for Visa and Non-Visa services.
  • For Passport and Certificate collections, please only book an appointment for a date on or after the collection date you have been given.
  • The transfer or sale of appointment bookings to third parties is not permitted. Any appointment slots transferred to a third party will be invalidated.

3. Changing or Cancelling a Booking

  • If you are certain you need to change or cancel a booking, please access the link in the appointment confirmation email. 
  • Please be sure to cancel any bookings at least one day in advance of the appointment date, as same-day cancellations cannot be made via the link in the appointment confirmation email.(If you need to cancel due to illness or some other unavoidable reason on the day of your appointment, please email inquiry-consulate@ld.mofa.go.jp).

4. When attending your Appointment

  • We will be unable to accept applications or to authorise collections where the required documentation has not been provided or is incomplete. If you are unsure as to what you will need to bring for your appointment, please check the relevant page on the Embassy website別ウィンドウで開く. If you require further clarification, please contact the Embassy by telephone or by email prior to attending your appointment.
  • You will only be able to enter the Embassy 10 minutes before your appointment time. You must be able to show the booking confirmation email or a print out at security.
  • Please ensure you attend at the appointed time. If you are significantly late for your appointment, entry to the Embassy may be denied.
  • Please be aware that we cannot guarantee that you will be served at the exact time of your appointment booking, and you may have to wait to be served. Thank you in advance for your understanding.
